Certifying the Identification Document

Successful verification of your identity by us is mandatory during the QuietGrowth account creation process.

If your residential address is in Australia, QuietGrowth conducts an online identity verification test. In case you fail the online identity verification test, then you would need to provide us the requested certified documentation. Please refer to the section Individual residing in Australia in this page for more information.

If your residential address is not in Australia, QuietGrowth will not conduct an online identity verification test. Instead, you would need to email us the requested certified/notarised documentation. Please refer to the section Foreign individual residing outside of Australia in this page for more information.

1. Format for certification

The certifier would be mentioning the below details on a copy of the document. Please take a photocopy or printout of your document, and then get that certified.

In the above box,

• Years of Service is required only for specific professions or qualifications of the certifier as mentioned in the below section 'List of persons authorised to certify a document — in Australia'.
• the Full Name, Position/Profession/Qualification, Licence/Registration Number, Signature and the Years of Service are that of the certifier.

2. Individual residing in Australia

If your current residential address is in Australia and your online identity verification test fails, we have mentioned in this section the details to certify your identification document. You would need to provide us with a certified document or certified documents that together contain your (a) full name, (b) date of birth, and (c) current residential address.

2.1 Type of documents accepted

Option 1: If you have Drivers Licence
Providing us a certified copy of Drivers Licence is the most common option preferred by our clients because that single document contains all the information that we expect: (a) full name, (b) date of birth, and (c) current residential address.
Option 2: If you do not have Drivers Licence but have Passport
Provide us with a certified copy of Passport AND a certified copy of any one of the following documents: Utility bill such as a water bill, electricity bill, telephone bill, Internet bill, etc. Bank statement
Option 3: If you do not have Drivers Licence but have photo identity card / proof of age card
Provide us with a certified copy of photo identity card / proof of age card. This photo ID card is Government-issued.

In case if any one of the documentation you possess does not have all the three details (Full Name, Date of Birth, Residential Address), then you would need to provide us a certified copy of an additional document with the rest of the three details (Full Name, Date of Birth, Residential Address).

For example, your Australian passport will not have details of your residential address. Hence if you are opting for providing a certified copy of your Australian passport, you would also need to provide a certified copy of a utility bill that has your name and residential address mentioned in it.

Note:

• If the document to be certified is very long:
  A certified extract can also be provided, instead of providing a certified copy of the entire document. For your reference, a Certified Extract is an extract that has been certified as a true copy of some of the information contained in a complete original document.
• Ensure that the date of certification of the ID document is within the last 1 year.
• Ensure that the Proof of Address in the form of a utility bill or bank statement is issued in the last 3 months.
• If the ID document has an expiry date, then make sure that the ID document is not expired. For example, the Australian drivers licence will have an expiry date printed on it.
• Each certified copy document must be certified separately.
• The signature should be a wet signature – that is, an ink pen should be used. Digital signature is not permitted.

2.2 List of persons authorised to certify a document — in Australia

• Legal professions: Legal practitioner, Patent attorney, Trademarks attorney
• Court positions: Justice of the Peace, Judge, Magistrate, Registrar, or Deputy Registrar, Clerk, Master of a court.
• Accountant (member of ICA, ASA, NIA or CPA, ATMA, NTAA)
• Commissioner for Affidavits, or Commissioner for Declarations (dependent on jurisdictions).
• Notary public
• An officer with, or authorised representative of, a holder of an Australian financial services licence, having 2 or more years of continuous service with one or more licensees.
• An officer with, or a credit representative of, a holder of an Australian credit licence, having 2 or more years of continuous service with one or more licensees.
• Police officer
• Australia Post employee with 2 or more years of continuous service who is employed in an office providing postal services to the public.
• Pharmacist

3. Foreign individual residing outside of Australia

A foreign individual residing outside of Australia needs to provide us with the certified/notarised copies of 'Proof of Identity' and 'Proof of Residence'. That is,

1) We need the certified copies of your (a) Passport; AND (b) another Government-issued identification such as Driver's Licence.

2) We need a certified copy of one document that has your current residential address. So, in case both your Passport and another Government issued identification do not contain your current residential address, then we also need:

• a certified copy of Identity Card if it contains your current residential address; OR
• a certified copy of a bank statement or utility bill (for example, water bill, electricity bill, telephone bill or Internet bill). If you are providing a utility bill, it should have been issued in the last 3 months.

Please take a photocopy or printout of your document, and then get that certified.

3.1 List of persons authorised to certify a document — outside Australia

• Justice of the Peace
• Notary public
• Any person who is authorised by law in a foreign country to administer oaths or affirmations or to authenticate a document.
• Australian Consular Officer, being one of the following offices:
• Consul-General
• Consul
• Vice-Consul
• Trade Representative
• Consular Agent
• Australian Diplomatic Officer, being one of the following offices:
• Ambassador
• High Commissioner
• Minister
• Head of a Mission
• Commissioner
• Chargé d'Affaires
• Counsellor, Secretary or Attaché at an Embassy, High Commissioner's office, Legation or other post.
• Employee of the Australian Trade and Investment Commission (Austrade) who is authorised, in writing, by the Secretary of the Department of Foreign Affairs and Trade (DFAT) to collect fees for consular acts. This employee should be exercising the employee's function at that place.
• Employee of the Commonwealth of Australia who is authorised, in writing, by the Secretary of the Department of Foreign Affairs and Trade (DFAT) to collect fees for consular acts. This employee should be exercising the employee's function at that place.
